Video Production Guidelines

Projects

Projects considered for workflow by our team must relate to university initiatives, campus-wide campaigns, institutional storytelling and outward-facing communications.

Time Frame

The recommended timeline for all Digital Communications video project requests is a 6-8 week lead time. While the DC team is aware and understands that video content requests occasionally need to be executed more quickly, a compressed timeline can lead to issues in pre and post production, as well as compromise promotion and distribution strategies for the content.

Schedule

Campus clients are responsible for providing both the rough lead-time schedule and first draft of the script within the project request email submission to dcim@sandiego.edu.

On-screen Talent

If students, faculty and/or staff (i.e., on-screen “talent”) are to appear in the video, the client will select preferred parties, help provide them with all pertinent information about their involvement, and assist with communication and coordination of on-screen talent.

Training

Our staff will assist in training the talent for their respective roles and will work with the client to refine the production schedule and script, when applicable.

Preferred Vendors

In the event that our team is unable to take on a project, a preferred vendor list will be supplied to the client.

Editing

Once filming has occurred, our team will work directly with the client through two rounds of editing. This includes an initial proof, and two subsequent proofs with requested edits.

Workflow

Clients are responsible for providing the proofs to any necessary approvers within the two rounds of editing. For each round of edits, the client needs to provide a compiled list of changes within 2-3 business days after the proof is sent. Should the project require additional rounds of editing, our team will follow up with the client to discuss editing alternatives, e.g. outsourcing to a vendors, revising timeline, etc.
