Selecting a Candidate to Hire

All Regular and Courtesy Recruitments

When you have selected the candidate you would like to hire:

Call the candidate’s references. Two professional references are required. At least one should be a former supervisor. Click here for sample reference questions.

Follow instructions on how to create a proposal to hire.

Submit a Proposal to Hire by accessing the selected candidate’s application and updating their status to "Proposal to Hire."

Complete all of the required fields and submit for review and approval.

Once the HR Recruiter receives the Proposal to Hire, we will check for the following:

Qualifications

The candidate chosen meets the minimum job qualifications (according to the current job description).

Pay

That the proposed pay is within the appropriate range and that there are no internal equity concerns.

References

That references were obtained by the hiring department.

Approvals

That any additional necessary budget/employment approvals were received.

Once the Proposal to Hire is fully approved, the HR Recruiter will:

Make an offer

Make a contingent offer to the selected candidate or authorize the hiring manager to make the initial contingent offer directly. All offers will be made contingent on the successful completion of the background check and education verification. Click here for Background Check Information.

Coordinate Onboarding

Once contingencies are clear, we will coordinate the onboarding process, including the following:

  • First day instructions
  • Workday onboarding and benefits enrollment
  • Schedule the new hire for Olé Monday, New Employee Orientation and Torero Employee Connect (TEC-for regular employees only)

Non-Benefit Based Temporary Positions or Student Casual Workers (NOT FWS or CWO)

If you are hiring for a temporary non-benefit based position, once you have selected the candidate you want to hire:

Direct hire in Workday. Get appropriate budget approval through Workday. The Budget Administrator or other authorized hiring authority will initiate the background check. Click here for Background Check Information. Once you receive the ‘OK to hire’ from HR follow instructions on How to Hire Temporary Employees or for Student Casual Workers.

On their first day, bring the employee to the Department of Human Resources (Maher Hall, Room 101) to present their work authorization, I-9 documents.

Student Employees (FWS or CWO)

If you are hiring a student worker or federal work study student, please click here for important information on hiring or rehiring student workers. You can give a copy of this document to the employee to guide them through the process as well.

To hire a federal work study student, the hiring manager must coordinate with the Student Employment Office (daviss@sandiego.edu) to gain approval to participate in this program.
