Goal setting is an important aspect of running a club. This can be anything from planning a workshop, to thinking about elections and transitions, to hosting one final meeting. Setting goals will help your team stay focused on what is wanted to be accomplished as well as running successful meetings and events. Effective goal setting for a running club involves using the SMART framework (Specific, Measurable, Attainable, Relevant, Timely).
Tips for Hosting Effective Meetings
Before the meeting:
- Set clear objectives. Determine what needs to be accomplished during the meeting.
- Create an agenda. List topics for discussion and make members aware of what will be discussed. We recommend using google docs to create your agenda so you can use it as a living document and take notes throughout the meeting.
- Assign roles. Delegate responsibilities for the meeting to ensure all functions are covered.
- Plan material. Have a mix of activities to keep the meeting interesting.
During the meeting:
- Start on-time!
- Create a welcoming environment. Greet returning members, say hello to new ones, and foster a space where everyone feels welcomed.
- Follow the agenda.
- Encourage participation.
- Lead by example. Show excitement during meeting and use active listening
- Delegate tasks appropriately.
After the meeting:
- Send out a meeting summary.
- Follow up on delegated tasks. Verify that members understand their responsibilities
How to Run a Club Election:
- Review Club Constitution and Bylaws. Refer to your club’s constitution and bylaws to understand election procedures.The election process varies depending on the organization.
- Create an Election Schedule. Unless listed in your club’s constitution and/or bylaws, create an election schedule for current and aspiring executive members to follow. We also recommend leaders to pass down any relevant information to incoming leaders throughout and after the transition.
- Holding an Election. There are multiple ways to hold an election including:
- Ballot: Nominations for all offices are taken and physical ballots are distributed
- Roll Call: Member, when called upon, declares vote for each office
- Online Election: Use Torero Orgs or a Google form to collect and tally votes

Is your organization hosting a performer/speaker/guest as a part of an event? Is your organization hosting a retreat or social event? Login to the EMS website to access the required documents to hold your organization's events.
Want to advertise your event on various USD webpages like the Torero Life website? Submit a MyPostings Request. When asked to choose a Department Website, make sure to select Torero Life!
Thinking about displaying any digital marketing materials on the UC/SLP digital displays? Fill out a UC/SLP Digital Display Request Form.
Is your org planning an event open to campus? Advertise on the two electronic entrance marquees! Just submit a Marquee Request.

Received ASGBC funds for your event and need to be reimbursed for purchases paid for out-of-pocket? Need to request a check for a performer/paid guest? Complete an ASGBC Check Request.
Is your organization paying a performer/guest? They will need to complete W-9 Tax Form in addition to a Performance Contract.
Is your organization’s performer/paid guest not from California? They will need to fill out an IRS 587 Tax Form in addition to the W-9 tax form.
Want to receive reimbursements faster? Would your organization’s performer/paid guest prefer to have their payment deposited directly into their account instead of receiving a check? Sign up for Direct Deposit.
Have you been approved for ASGBC funds or have funds available in your organization's account? You can make purchases using the AS Credit Card! To use the card, simply complete the ASG Card Request Form or contact usdinvolvement@sandiego.edu to schedule an appointment to make the purchases.
Student Organization Club Accounts
In order to deposit funding into your student organization club account, online payments can be made via CashNet. Please enure you are selecting the proper organization. If your organization is not listed and you are interested in creating a club account, please reach out to Karina Velasco (kvelasco@sandiego.edu) for further assistance.
