Remove data from USD Google Drive and export them to a personal computer
Step 1: Log in to Google Drive
- Open your web browser and go to Google Drive.
- Log in with your University of San Diego email address and password (if prompted)
- Navigate to the folder containing the files you want to export.
- Hold down the Ctrl key (Windows) or Command key (Mac) and click on each file you want to export. Alternatively, you can click and drag to select multiple files at once.
- After selecting the files you want to export, right-click on one of the selected files.
- Choose the Download option from the context menu.
- The selected files will be downloaded to your computer's default download location
- If you want to export data to your mobile device or phone manually, connect the device to the computer you utilized for downloading Google data using a USB cable
- Open two File Explorer windows (Windows) or two Finder Windows (Mac) Transfer the downloaded files from your computer to your phone's storage by dragging and dropping them
- Alternatively, you can use personal cloud storage apps on your mobile device or phone (e.g., Google Drive, Dropbox) to upload the files from your computer to your personal cloud app and then access them on your phone through the respective app
Export data to Cloud Providers (e.g., iCloud, personal Dropbox, personal Google Account)
- To export your data to cloud providers, login to the respective services website or app
- Upload the downloaded USD Google Drive data from your computer to the cloud providers storage through their interface
- You can also use the Google Drive desktop app on your personal computer (if applicable) to transfer data to your personal Google account if needed
Step 4: Delete Selected Data
- Once you have exported the data from your computer to a cloud provider, you can delete it from your Google Drive to free up space.
- Select the data you want to delete by clicking on them.
- Right-click on one of the selected files and choose the "Remove" or "Move to Trash" option from the context menu.
- Confirm the deletion when prompted.
How to Delete Multiple Videos/Photos from Google Photos and Export Them
Step 1: Access Google Photos
- Open a web browser on your computer or mobile device
- Navigate to photos.google.com and sign in with your Google account credentials
Step 2: Select Multiple Videos/Photos
- Once logged in, you'll see your photos and videos organized by date.
- Hold down the Ctrl key (Windows) or Command key (Mac) on your keyboard.
- Click on each video/photo you want to delete and export. Selected items will be highlighted
Step 3: Export Videos/Photos
- After deleting unwanted items, you can export the remaining ones.
- Select the videos/photos you want to export by clicking on them.
- Click on the More options icon (three vertical dots) located at the top right corner of the screen.
- Choose the Download option to download selected items to your local computer or device.
- Alternatively, you can select Send to and choose your desired destination such as iCloud, Dropbox, or your personal Google account.
- Follow the prompts to confirm the export destination and complete the process.
- Depending on the size of the data and your internet connection speed, the export process may take some time.
- Once the export is complete, navigate to the destination you chose (e.g., local computer, phone, iCloud, Dropbox, personal Google account) to verify that the videos/photos have been successfully transferred.
- Congratulations! You have successfully deleted multiple videos/photos from Google Photos and exported them to your desired destination
- After selecting the desired videos/photos, click on the trash can icon located at the top right corner of the screen.
- A confirmation message will appear asking if you're sure you want to move the selected items to the trash. Click Move to trash to confirm.
- On the left sidebar, click on the Trash option. This will display all the items you've deleted.
- If you accidentally deleted an item, you can restore it by selecting it and clicking on the Restore button.
- To permanently delete items, select them and then click on the Delete forever option.
How to identify, delete, and export large email attachments (e.g., attachments larger than 10MB)
- Go to the Search bar (Search in Email) in Gmail and click the Show search options button to open the filter options. The Show search options is all the way to the right in the Search in Email field and looks like an equalizer.
- Next to the Size option, select Greater Than or Less Than, then specify the file size. In this case the size is 10MB. Then click Search.
To identify, delete, and export large email attachments stored in Google Drive, follow these steps:
Identify Large Attachments:- Go to your Gmail inbox.
- In the Gmail search bar, type has:attachment larger:10MB (without quotes) and press Enter. This will filter emails with attachments larger than 10MB.
- You can use this same command to find other large sized attachments as well e.g 5MB, 3MB etc.)
- Review the search results to identify the emails with large attachments.
- Open the email containing the large attachment you want to delete.
- Click on the attachment to open it.
- If the attachment is stored in Google Drive, you'll see an option to Save to Drive or Open in Drive Click on it.
- This will open the attachment in Google Drive. From there, you can delete it by clicking on the trash icon or by selecting the file and pressing the delete key.
- Open Google Drive in your web browser.
- Use the search bar to search for the large attachment you want to export. You can search by the name of the file or by using filters like file type or file size.
- Once you've located the attachment, right-click on it and select Download to download it to your local device.
- Alternatively, you can select the file and then click on the Download button in the toolbar at the top.
- After deleting large attachments, you may want to clear them from the trash in Google Drive to free up space.
- Go to Google Drive, click on Trash in the left sidebar.
- From there, you can permanently delete the files by right-clicking on them and selecting Delete forever
