Event Co-Sponsorship Guidelines
"Co-Sponsorship is a means by which an officially recognized USD student organization, department or school enters into an agreement with an off-campus group or organization for the purpose of offering a program jointly. A reduced facilities fee of one-half the published rate is charged to off-campus organizations who initiate, organize, plan and co-sponsor an event with an on-campus school, department or organization as long as that school, department or organization is substantially involved in the initiation, planning and organizing of the event." In implementing this policy, and interpreting the intent of the policy, the Office of Special Events asks the following of you as the on-campus co-sponsor of an event:
1) The event must be open to the campus community. Attendance must be encouraged through adequate notification by bulletin, poster, Newsnotes, etc.
2) A POETS code be supplied to Campus Scheduling by your organization or department for all billing. We will bill your POETS code for the event.
3) Determine an on campus contact/liaison for the event. This person shall be responsible for all inquiries regarding details of the event: room set ups, catering, etc. Please do not assign an off-campus person to do this.
“In instances where off-campus organizations will make a substantial profit from the co-sponsored event, the reduced facilities fee is not offered.”
The concept of this policy is that there are many events which are beneficial to the University of San Diego. While we would love to host these events for free, the reality is that the utilities, staffing, wear and tear and cleaning of these facilities must take place. By charging a reduced rate, the University supports these events without putting an unfair burden on our students.
