Poster and Print Training

The requests for group poster creation has grown dramatically over the past year or two. In an effort for us to accommodate all of these requests, we ask that you follow this procedure.

• Poster Request Form - General information about your request and a POETS code to be charged for the printing. Note: Completion of this request form does not guarantee our services! We do our very best to accommodate, but the number of requests has grown tremendously in recent years and we cannot promise that dates will be available.
• We will review your request and then contact you to confirm the job or let you know if we are unable to fulfill your request.
• We will ask to meet with you for a 30-minute consultation to review the details and terms of agreement.
• We will block printing dates for your group's posters, set aside time for our staff and equipment.

We STRONGLY encourage you to arrange for our staff to provide training to your group, and to require your students to attend a workshop (or at least 1 student per team project)

• We will provide you and your students with properly sized and formatted templates to use for designing their posters
• If you are requesting one or more training workshops, please coordinate with our staff, find out when are they available to teach workshop(s) for your group.
• You are responsible for reserving the computer lab. These workshops MUST be taught in a Mac lab, be sure to include that information in your lab reservation request
• Once the workshops have been arranged, we can add them to our IT Training Calendar so that your students can register online to attend. If you prefer to have students register through a different system or process of your own, then you will need to update our staff with registration information 2-days in advance
  • Note: Our staff reserves the right to cancel workshops with registrations of 3 or less

As mentioned above, a printing schedule will be discussed during your initial 30-minute consultation and a time/date will be blocked for our services. Your group coordinator will be responsible for scheduling student printing times, and relaying that information to our staff 48 hours prior to the print date. Please observe the following:

• As a general rule for planning, please allow 10-minutes per student for printing
• Be sure to include a 1-hour lunch break for our staff in your scheduling. Time slots can be scheduled at 10-minute intervals between the hours of 8:30am-11:30am, and from 12:30pm-3:30pm.
• Some tools commonly used for scheduling purposes are Doodle and Google Docs. A paper alternative is to post sign-up sheets in the Media Lab or in your office.
• Students are to bring their poster (in PDF or PowerPoint format) on a flash drive, or be able to access it in their own email account when they arrive. We will NOT print digital files that have been emailed to our staff
• Students must abide by the guidelines and templates provided. Posters that do not adhere to the guidelines and template and that require reprinting, will be at an additional cost to the student
• Poster sizing - Our large output printer uses 42" wide paper. Common poster sizes are:
  • 24" x 42" - 2 linear feet
  • 36" x 42" - 3 linear feet
  • 56" x 42" - 5 linear feet
• Current pricing: $12.50 per linear foot (or portion thereof), to be charged to the POETS code collected in the initial request form
