12th Annual Chicana/o Latina/o Graduate Recognition Ceremony Committees
The Graduation Committee will:
- Decide how much fees should be, based on actual or projected costs.
- Not allow graduates to work the day of the Graduate Recognition Ceremony; they are there to enjoy the evening with their families.
- Request for all members of the aforementioned committees (except graduates) to be part of the Clean Up Crew: to clean and arrange the facilities after the Graduate Recognition Ceremony.
- Create an evaluation sheet to be filled out at the Graduation Ceremony for future reference.
- Decide if it will waive/discount the fee for monetary limited graduate, in case of surplus.
- Donations from faculty must be received by March 30th.
Student Representative (AChA, MEChA, SOLES)
Will share mutual responsibilityof overseeing the Graduate Recognition Ceremony. This includes sitting in the advisory council and setting agendas for advisory council meetings.
Media
This committee includes one chair who sits in the advisory council and committee members who are responsible for marketing the recognition ceremony and informational sessions, the program, invitations, and slideshow.
Invitations
Will be resposible for creating and coordinating with Alumni Office for the printing of invitations. Coordinate with student representatives to obtain accurate invitation count. Sets up at least 2 days once invitations have been printed for graduates to pick up their invitations to distribute.
Programs
This position requires the group to regulate the overall production of the ceremonial programs. The group will take control of the “Graduate Description Sheet” and make sure it is “clean” in language and purpose. Coordinates a time to review accuracy of Spanish language text with a USD Spanish language professor.The group must give, Director of UFMC, a copy of the program prior to print, for administrative review.
Slideshow (AChA, MEChA, SOLES)
This committee will be equally responsible for preparing the slideshow and its music. The group must manage, review, and program the graduate pictures. April 11th will be the final day pictures will be accepted for the program slideshow. A sneak-peak of the slideshow must be presented to the committee the week of April 26th.
May 10th the final slideshow with music must be presented for approval.
*All aforementioned positions must follow the University of San Diego’s rules governing Alcohol/Drugs.
Food
This committee includes one chair who sits on the advisory council and committee members who are responsible for ensuring quality of food through samplying. Responsible for ordering an amount of food that reflects the expected number of guests. Requests soft drinks from Alumni Realations. Coordinates with volunteer committee to recruit food servers for dinner.
Fundraising
This committee includes one chair who sits on the advisory council and committee members who are responsible for coordinating fundraisers for costs of the ceremony, forms a budget projection, and solicits sponsorship. Coordinates with media committee for promoting these events.
Decorations
This committee includes one chair who sits on the advisory council and committee members who are responsible for the ordering of stoles in timely manner, coordinates with the office of Alumni Relations to ensure an accuracy number of gift baskets that are donated for particpants, coordinates with volunteer committee to recruit volunteers to decorate.
The theme will be blue and silver. This group will anticipate the cost for decoration (balloons, flowers, centerpiece, ect...) and incorporate blue and silver throughout. Updates will be given at the Graduate Recognition Ceremony Committee meetings.
The costs of decorations must be turned in by the beginning of April.
Stoles
Responsible for collecting order information from the application coordinator and ensuring stoles arrive prior to the event. This person will also distribute stoles at the event or coordinate with decorations chair. Listed under decorations sub committee. Stoles requests are included in application, due March 30th.
Volunteer
This committee includes one chair who sits on the advisory council and committee members who are responsible for many aspects the day of the event. Volunteers on this committee will set-up the locations, collect tickets, serve food, clean-up, and help usher and direct people throughout the ceremony. Coordinates with other chairs as the event approaches to organize volunteers where help is needed.
Treasury (GA, Student Reps, Fundraising Chair)
The treasury will be responsible for managing the ceremony budget through the committee and Director of UFMC. Only this department will be responsible for tracking/recording all deposits/withdrawals to the Graduate Recognition Ceremony account and will continuously consult for administrative review of the proposed budget. Responsible for writing the “2nd Table Reservation List” and presents updates at the Graduation Committee meetings.
All applications must be submitted by March 30th at midnight and all fees must be received by Chicano Grad GA at 4:00pm on March 30th.
