How to Post a Vacancy

Instructions for Posting a Vacancy for an Open Position

When you have a vacant regular or courtesy (temporary) position that you want to post on the Jobs website, please follow the steps below:

  • Submit an eDAF or paper Department Action Form to the Department of Human Resources indicating the current employee that is leaving the position.  Please be sure to attach or submit a copy of the resignation letter if provided.
  • Email jobs@sandiego.edu to notify Employment Services of the hiring manager who will be initiating the process so that the appropriate access can be assigned in advance.   

Once access has been granted and to begin the process, login to the Jobs@USD recruitment system:

MySanDiego.edu >> Employee >> Employee Resources >> Jobs@USD

Submit a new job description by clicking the ‘Job Description’ bubble, and then click ‘New job description’

  • Once the job description has been submitted and approved, locate the approved job description and click ‘Recruit for position’ to begin the Personnel Requisition submission process.

Once the Personnel Requisition is fully approved, an Employment Services Representative will:

  • Reach out once the position is posted on the Jobs website.
  • Work with the hiring manager to develop an appropriate recruitment strategy for the position

Posting Duration Guidelines 

  • Department Only: To be posted/accessed through the MySanDiego Internal Job Opportunities portal; only “regular” status employees in the department will be able to apply for the position.  The minimum posting period is 3 business days.
  • USD Employees Only: To be posted/accessed through the MySanDiego Internal Job Opportunities portal; only current USD employees will be able to apply for the position.  The minimum posting period is 5 calendar days.
  • USD Website Only: To be posted on USD’s external Jobs website; all USD employees and external applicants will be able to apply for the position.  The minimum posting period is 5 calendar days.
  • Advertise Externally: To be posted on USD’s external Jobs website and any requested external site,be sure to include the desired external advertising sites in the ‘External Advertising’ details field on the Personnel Requisition in Jobs@USD.  The minimum posting period is 5 calendar days; however we recommend at least 2 weeks.

It is the hiring manager’s responsibility to verify that a candidate meets the minimum qualifications before contacting a candidate to continue in the recruitment process. Please be sure to review the entire application and any attached documents.  Reach out to your assigned Employment Services Recruiter with any questions or concerns.
