Conceptualize Your Event
1) Outline the concept of your event including:
Purpose & Goals of Event
Title of Event
Target Audience (Undergrad, Grad, Residents, Women/Men)
Date (chose a primary and an alternate)
Start and end time
Number of participants & Participant Cost
Program (speakers, video)
Room setup (tables, chairs, stage, podium)
Equipment (audio, lighting, etc)
Food (breakfast, lunch, snack, reception, dinner)
2) Develop a realistic budget:

Keep in mind that not all events will use every budgeted item, and that some events may incur costs not accounted for on the budget worksheet.
3) Obtain necessary approvals for:
If you are having a guest speaker, you will need to fill out a Guest Speaker Request
The event and budget from your department/ organization
To obtain sponsorship from a corporation/ business/ donor for your events contact and gain approval from University Relations
Co-sponsored events… If you are presenting an event or program in cooperation with an off campus group or organization, a facilities rental fee of 50% of the rate of external groups will be charged. A request for cosponsorship must be generated from an internal department or internal sponsoring organization.
